Cold Storage Project Checklist: What to Prepare Before Requesting a Quotation
Use this printable checklist before requesting a cold storage quotation. Fill in the facts you have, mark unknown fields and attach a layout or room schedule when available.
- Required
- Five first-step fields
- Optional
- Technical detail
- Useful
- Layouts and drawings

01
Fill in the five facts needed to start
Provide your name, email, country, project type and a short summary. Then add the stored or processed product, its incoming condition, the target room or outfeed condition and whether the work is a new build, expansion or upgrade. Unknown values can be marked for follow-up.
The form and downloadable PDF are intended to save time at the first technical discussion. They do not ask a buyer to calculate a refrigeration load before explaining what the facility needs to do.
02
Describe rooms and product movement by zone
For each room or process step, record its purpose, dimensions, target condition, product, daily intake, storage capacity or throughput, door activity, operating hours and the next movement of product. Separate receiving, chilled storage, frozen storage, freezing, processing and dispatch rather than combining them in one capacity line.
For a multi-temperature site, a simple room list, layout or product-flow sketch is often the best supporting document. It helps distinguish room duty, controls, airflow and installation interfaces before equipment is listed.
03
Include the site and delivery information
Add the country, city if available, ambient information, power supply, drainage, water or heat-rejection information, plant-room location, access route and known local requirements. State whether you need equipment only, equipment plus installation support, or a defined delivery scope that includes further coordination.
Attach available PDFs, JPGs or PNGs such as layouts, room schedules, product-flow diagrams, existing equipment records or photos. The existing Project Brief Builder validates these attachments and keeps them private for authorized review.

Questions to discuss
Frequently asked questions
Do I need to know the refrigeration load?
No. The form does not require a load figure. Provide operating data and identify what needs assistance.
Can I upload a drawing?
Yes. The RFQ accepts supported PDF, JPG and PNG files with server-side limits and validation.
